Team and roles
Invite colleagues into your PageFork team and control what each of them can do — on sites, leads, integrations and billing.
Everything in PageFork belongs to a team (your organization), not to you personally — sites, media, credits, leads. Invite colleagues in and they work on the same sites, from the same balance.

Roles
Three roles, from most to least powerful:
| Owner | Admin | Member | |
|---|---|---|---|
| Create and edit sites | ✓ | ✓ | ✓ |
| Publish and manage domains | ✓ | ✓ | ✓ |
| Work leads and people | ✓ | ✓ | ✓ |
| View billing and invoices | ✓ | ✓ | ✓ |
| Set up the CRM and integrations | ✓ | ✓ | |
| Buy credits, set up auto top-up | ✓ | ✓ | |
| Start, change or cancel site plans | ✓ | ✓ | |
| Invite and remove people | ✓ | ✓ | |
| Change team name and logo | ✓ | ✓ | |
| Delete the team | ✓ |
The practical split: members do the work, admins also hold the wallet, the door and the setup, and only an owner can dissolve the team.
Leads and people: who can do what
Day-to-day work on leads is open to everyone on the team. Anything that changes how the CRM is set up, or that destroys data for good, is kept for owners and admins.
| Owner | Admin | Member | |
|---|---|---|---|
| View leads and people | ✓ | ✓ | ✓ |
| Add leads by hand | ✓ | ✓ | ✓ |
| Move leads between stages, set owner, priority and value | ✓ | ✓ | ✓ |
| Add notes, calls, emails, meetings and follow-ups | ✓ | ✓ | ✓ |
| Edit a person’s details, custom field values and tags | ✓ | ✓ | ✓ |
| Edit or delete your own notes | ✓ | ✓ | ✓ |
| Delete someone else’s note | ✓ | ✓ | |
| Edit pipeline stages | ✓ | ✓ | |
| Edit the list of custom fields | ✓ | ✓ | |
| Import people from CSV | ✓ | ✓ | |
| Merge duplicate people | ✓ | ✓ | |
| Erase a person | ✓ | ✓ |
A note can only be edited by the person who wrote it, whatever their role.
Buttons a member can’t use are mostly hidden: Import CSV, Edit fields, Edit stages and Delete person… don’t appear for members.
Leads, people and the settings above are a Pro feature of each site. See Basic and Pro plans.
Integrations: who can do what
| Owner | Admin | Member | |
|---|---|---|---|
| See a site’s destinations and connected accounts | ✓ | ✓ | ✓ |
| Add, change, test or remove a destination | ✓ | ✓ | |
| Retry a failed delivery | ✓ | ✓ | |
| Connect or disconnect a Google account | ✓ | ✓ | |
| Create, view and revoke API keys | ✓ | ✓ |
API keys and connected accounts
Both live on the Team page, and both belong to the team rather than to one person.
- Connected accounts lists the Google accounts your team has linked for sending submissions to Google Sheets. Owners and admins add one with Connect Google account and remove one with Disconnect. See Google Sheets destination.
- API keys are what the PageFork Zapier and Make apps use to sign in. Only owners and admins see this section. A new key is shown once, when it’s created — copy it then. See API keys.
Inviting someone
Enter their email, choose Member or Admin, and send. They get an email with a link that adds them to the team.
Pending invitations are listed until accepted. You can resend one — which also pushes its expiry back, so a link sitting in someone’s inbox keeps working — or cancel it.
An invitation is tied to the email address you sent it to.
Changing a role
Change anyone’s role from the members list. You can promote a member to admin, or to owner if you’re an owner yourself.
Removing someone
Removing a member revokes their access immediately. Their work stays: sites they created, media they uploaded, and notes they wrote all remain with the team.
Before removing someone, filter your leads by owner and hand theirs to a colleague, so nothing is left without anyone looking after it. See Leads list and filters.
Leaving a team
Leave team removes you from a team you’re not the last owner of.
If you’re the sole owner, you can’t leave — the team would be left with nobody able to administer it. Promote someone else to owner first, then leave.
Deleting a team
Owners only, and permanent. A team with active subscriptions can’t be deleted — cancel every site plan first, on Billing → Subscriptions. A cancelled plan stays active until the end of the period you’ve paid for, so the team can be deleted once that date has passed. See Basic and Pro plans.
Team name and logo
Owners and admins can change both at the top of the Team page. Drag an image onto the logo area or click to upload.
