Leads

The lead page

Everything about one lead in one place: stage, notes, calls, follow-ups, form submissions and the person behind it.

Click any card on the board, row in the list or entry on the calendar and you land on the lead page. This is where you work a lead: move it through your stages, record what was said, plan the next step and keep the person’s details up to date.

Lead pages are a Pro feature. See Basic and Pro plans.

A quick tour

AreaWhat it’s for
HeaderWho the person is, with one-click call and email
Stage barWhere the lead is in your pipeline, plus Won and Lost
Activity (left)Write notes, log calls, emails and meetings, and read the timeline
Details (right)Owner, priority, value, follow-ups, the person’s details and their other leads

On a phone the two columns become two tabs, Activity and Details.

The header

The header shows the person’s name with their company, email and phone. Under it are small labels for the current stage, the priority, the value, and Unread submission when there’s a form submission nobody has opened yet.

  • The phone and email buttons start a call or a new email in the app your device uses for those.
  • The … menu has View person, which opens the person’s page with every lead and submission they have ever had. Owners and admins also see Delete person… (Erasing a person).
  • If PageFork spots someone who looks like the same person, a banner offers Review & merge. See Merging duplicates.

The stage bar

Your open stages are shown as numbered steps, with the current one highlighted. Click a step to move the lead there. You can move forwards or backwards.

  • Won closes the lead as won straight away.
  • Lost opens a box asking Why was it lost? The reason is optional. Click Mark lost to confirm.

A closed lead shows a banner with the closing date and the lost reason, and a Reopen button. Reopening moves the lead back to your first open stage. It’s refused if the person already has another open lead.

Every stage change is recorded in the timeline. It can also trigger a destination set to fire on that stage. More on stages in Lead pipeline.

Recording what happened

The box at the top of the activity column has four tabs.

TabButtonExtra details
NoteAdd noteNone
CallLog callOutcome: Connected, No answer, Voicemail or Left message. Length in minutes
EmailLog emailNone
MeetingLog meetingOutcome: Held or Cancelled. Length in minutes
  1. Pick the tab.
  2. Type what happened. The text is required.
  3. For a call or meeting, optionally click an outcome and enter the minutes.
  4. Click the button, or press Cmd+Enter (Ctrl+Enter on Windows).

The entry appears at the top of the timeline with your name and the time you saved it.

Things to know:

  • These are records for your team. Logging an email doesn’t send one, and logging a call doesn’t place one.
  • Nothing here is visible to the person the lead is about.
  • An entry can be up to 8,192 characters.

Editing and deleting entries

Open the … menu on an entry in the timeline.

  • You can Edit the text of entries you wrote.
  • You can Delete your own entries. Owners and admins can delete anyone’s.

The timeline

Below the box is everything that has happened on this lead, newest first and grouped by day.

You’ll seeExample
Notes, calls, emails, meetings”Dana logged a call”, with outcome and minutes
Form submissionsA card titled with the form’s name
Stage changes”moved the lead New → Contacted”, “marked the lead won”
Ownership”assigned to Dana”, “removed the owner”
Follow-ups”added a follow-up Send quote”, “completed Send quote”
Changes to the person”changed Phone”, “corrected email”, with the old and new value
Housekeeping”added this person”, “created this lead”, archived, restored, merged

Each line names who did it. Things PageFork did by itself, such as creating the lead from a form, show as System.

Changes to priority and value aren’t listed in the timeline.

Submissions on the lead

Every form this person submitted while the lead was open appears in the timeline as a card. The card shows the form, the time, a short preview, and Books with a date if the form has a booking date.

  • An unopened submission is highlighted and marked New.
  • Click the card to expand it and read every field. Expanding it marks it as read.
  • Click the pencil next to a value to fix a typo. See Correcting submitted data.

Lead details

The Lead panel holds the details that belong to this piece of business.

FieldNotes
OwnerA team member, or Unassigned. An owner who has since left the team shows as Former member
PriorityNone, Low, Medium or High. It’s for your own sorting and filtering
ValueWhat the lead is worth to you. Type a number and press Enter. It’s a plain number with no currency
SourceHow the lead was created: Form, Added by hand, API or Import. Leads added by hand also show the channel, such as Phone or Referral
FormThe form that created the lead, if any
CreatedThe date the lead was created

Source, form and created date can’t be edited.

Assigning a lead to someone else sends them an email so they know it’s theirs. No email is sent when you assign a lead to yourself or set it to Unassigned.

Follow-ups

The Follow-ups panel lists what you plan to do next on this lead, each with an optional due date and owner. See Follow-ups and tasks.

The person panel

The Person panel shows who the lead belongs to.

  • Click Name, Email, Phone or Company to edit it.
  • Add or remove Tags.
  • Fill in your custom fields. Fields that arrive from your forms show up here automatically.
  • The last line says when and how you first heard from them, for example “First seen 12/09/2026 via form”.

These details belong to the person, not to this one lead. A change here shows on all of their leads and on their person page.

If you enter an email that another person on the site already has, PageFork refuses and offers Merge instead, so you don’t end up with two records for one person.

Other leads from this person

If the person has had other leads, they’re listed at the bottom of the details column with their stage, source, value and the date they were opened or closed. Click one to open it.

This is how you see that the person asking for a quote today was already a customer last year.

Good to know

“This person already has another open lead.” You tried to reopen a closed lead, but the person has a newer open one. Click Open it in the message and continue there.

The owner shows as “Former member”. The lead is still assigned to someone who left your team. Pick a new owner.

I can’t find the person’s older form submissions. A lead shows the submissions that arrived while it was open. Earlier ones are on the person’s older leads. View person shows all of them together.
