Leads

Leads overview

How PageFork turns every form submission into a person and a lead, and where to find the board, list, calendar and people views.

Leads in the sidebar is where the people who contact you end up. Every form submission becomes a lead you can move through a pipeline, assign, call, take notes on and follow up with.

The full Leads page is a Pro feature. On a Basic site the same page shows a simpler list of submissions. Every new site has a 14-day Pro trial. See Basic and Pro plans.

Three words to know

WordWhat it is
PersonSomeone who contacted you. One record per person per site, holding their name, email, phone, company, tags and fields.
LeadOne piece of business with that person. It sits in a stage of your pipeline and is eventually won or lost.
SubmissionOne form someone filled in. It is kept exactly as it arrived and attached to a lead.

A person can have several leads over time, and a lead can hold several submissions. A person has at most one open lead at a time.

How a submission becomes a lead

When a form is submitted, PageFork does three things:

  1. Finds the person. It looks for someone on the same site with the same email address. If there is no email match, it looks for the same phone number. If neither matches, it creates a new person.
  2. Finds their open lead. If that person already has an open lead, the submission is attached to it. If they have no lead, or all their leads are closed, a new lead is created in the first open stage of your pipeline.
  3. Keeps the submission. The form answers are saved as submitted and shown on the lead’s timeline.

So a repeat enquiry from someone you are already talking to does not create a second card. It lands on the lead you already have, marks it unread and moves it back to the top of your list.

A few details worth knowing:

  • Forms fill in blanks, they never overwrite. If the person already has a name, phone or company on record, a new submission will not replace it.
  • A submission with no email and no phone can’t be matched, so it always becomes a new person.
  • An archived person is restored automatically when they submit a form again.
  • Each site has its own people and its own pipeline. The same email on two sites is two separate people.

Leads can also be created without a form. See Adding leads by hand.

The four views

Pick a site in the site dropdown, then switch views with the tabs.

ViewBest for
BoardMoving leads through your pipeline by dragging cards
ListSearching, filtering and changing many leads at once
CalendarSeeing follow-ups that are due and appointments visitors booked
PeopleEveryone who has contacted you, with or without an open lead

The Leads page opens on the Board the first time, and after that on whichever view and site you used last.

Click any card, row or calendar entry to open the lead page, where the actual work happens: stage, notes, calls, follow-ups and the person’s details.

Unread

A lead is unread while it has a submission nobody has opened yet. Unread leads show a dot on the board and in the list, and the sidebar shows how many unread submissions you have in total.

Expanding a submission on the lead page marks it as read.

What Basic sites see instead

On a Basic site, or when All sites is selected in the site dropdown, the Leads page shows a plain list of submissions with read/unread marking and CSV export. The Board, Calendar and People tabs show a lock.

People and leads are still created in the background for every submission, so nothing is missing when the site moves to Pro: the whole history shows up straight away.

Submissions on Basic describes that list.
