Lead calendar
See your leads on a month or week calendar, either by the follow-ups your team has planned or by the appointments visitors booked.
The Calendar view puts your leads on dates. It answers two different questions, depending on the mode you choose: “what do we need to do, and when?” and “who is coming in, and when?”
The calendar is a Pro feature. See Basic and Pro plans.
Open Leads in the sidebar, pick a site and click the Calendar tab. Like the board, the calendar shows one site at a time.
Two modes
| Mode | Shows | The date comes from |
|---|---|---|
| Follow-ups | Tasks your team has planned | The due date on a follow-up |
| Bookings | Appointments visitors picked | A date field in the form itself |
Switch with the Follow-ups and Bookings buttons above the calendar. The calendar opens in Follow-ups.
Follow-ups mode
Every open follow-up with a due date appears on its day. The entry reads as the follow-up’s title and the person’s name, for example “Send quote · Dana Smith”.
A follow-up is shown while it’s not completed, its lead is still open and the person isn’t archived. A lead with three dated follow-ups appears three times, once for each.
A due date is a calendar day rather than a moment, so a follow-up sits on the same day for everyone on your team.
If nothing is planned, the calendar says “Nothing due in this month. Add a follow-up task on a lead to see it here.”
Bookings mode
Every form submission that carries an appointment date appears at that date and time, labelled with the person’s name.
This only works once you’ve told PageFork which form field holds the date. See Booking dates. Until then this mode is empty, however many appointments visitors have requested.
Things that differ from follow-ups:
- A booking with a time is a real moment, shown in your own timezone, the way any calendar app would show it.
- A Date only booking is a day, not a moment. It shows on the day the visitor picked, wherever you are viewing from.
- Each submission is its own entry. Someone who booked twice appears twice.
- Bookings stay on the calendar after the lead is won or lost. Only bookings of archived people are hidden.
Month and week
Use the Month and Week buttons to change the range.
Month shows the whole month in a grid. Each day shows up to three entries, then a line such as +2 more.
Week shows seven days side by side.
- Follow-ups sit in a row at the top of each day, because they have no time of day. So do bookings from a form whose value format is Date only.
- Other bookings are drawn on an hour grid as blocks. The block’s length is the appointment length set for that form.
Step backwards and forwards with the arrows, or click Today to jump back to the current date.
Colours
Each entry takes the colour of the stage its lead is in, so you can see at a glance which appointments belong to new leads and which to leads you’ve already qualified. On a computer, a legend above the calendar lists your stages.
The calendar uses a smaller set of colours than the board: pink stages are drawn in red and teal stages in green.
Click any entry to open the lead page.
No filter bar
The calendar has no filter bar. It shows everything for the chosen site and mode, so an empty day really means nothing is planned or booked, not that a filter is hiding it.
To narrow down by owner, priority or anything else, use the list or the board.
Saving and sharing a calendar
The mode is part of the page address, so a link to the Bookings calendar opens on bookings for a colleague too. You can also keep it as a saved view.
Month or week is not remembered. The calendar always opens on the month.
Very busy calendars
One screen shows at most 500 entries. Past that, a notice says “Showing the first 500 bookings in this window — narrow the range to see the rest.” Switch from Month to Week to see them all.
On a phone
On a small screen the grid is replaced by a simple agenda: a list of days with their entries underneath, and the time in front of each booking. In Month only days that have something are listed. In Week all seven days are.
Troubleshooting
Bookings mode is empty. Work through Bookings still not showing. The usual causes are no booking date set up for the form, or looking at the wrong month.
A follow-up is missing. It needs a due date, it must not be completed, and its lead must still be open.
A booking shows at an unexpected hour. Bookings are read in the timezone set for the form and shown in yours. Check the timezone in Booking dates.
A booking sits at midnight. The form’s value format is Date and time, but the visitor’s value had a day and no time, so it’s placed at midnight in the form’s timezone. If the form only asks for a day, set its value format to Date only and its bookings show in the row at the top of each day instead.
