Leads

Leads list and filters

Use the list view to search and filter leads, choose columns, save views you use often and change many leads at once.

The List view shows your leads as a table. It’s the best place to find a specific lead, narrow down to a group, and change several leads in one go.

The leads list is a Pro feature. On a Basic site the List tab shows a simpler list of submissions instead. See Basic and Pro plans.

Open Leads in the sidebar, pick a site and click the List tab.

What the list shows

Each row is one lead. By default you see open leads of people who aren’t archived, with the most recently active lead at the top. A lead counts as active when it’s created or changed, when a note or follow-up is added, or when a new submission lands on it.

Click a row to open the lead page.

Rows are shown 25 to a page. Change Rows per page to 10, 25 or 50 at the bottom of the table.

Columns

Name and Stage are always shown. A dot in front of the name means the lead has an unread submission.

The other columns are optional:

ColumnShows
Email, Phone, CompanyThe person’s contact details
PriorityLow, Medium or High. A dash means None
OwnerThe team member the lead is assigned to
DueThe earliest open follow-up. +2 after the date means two more open follow-ups
ValueThe amount entered on the lead
SourceForm, Added by hand, API or Import
ChannelHow they reached you, for leads added by hand
SubmissionsHow many form submissions the lead holds
Last activityWhen the lead last changed
CreatedWhen the lead was created

Your custom fields can be shown as columns too.

To choose columns, click the settings icon at the right end of the filter bar and tick or untick entries under Columns. A new site starts with Email, Priority, Owner, Due, Value and Last activity.

Your column choice is remembered per site in the browser you’re using. It isn’t shared with your team. The column picker is available on desktop. On a phone the list is shown as cards instead of a table.

Owners and admins also see Edit fields in the same menu. See Custom fields.

The filter bar

Filters combine: a lead must match all of them to be shown.

FilterWhat it does
SearchFinds leads whose person’s name, email, phone or company contains what you type
Any stageTick one or more stages. List view only
Any priorityNone, Low, Medium or High
AnyoneThe owner: a team member, or Unassigned
Any sourceForm, Added by hand, API or Import
Any formLeads created by a particular form. Shown once PageFork knows of a form on the site
FieldFilter on one of your custom fields
UnreadOnly leads with a submission nobody has opened
Show closedAlso show won and lost leads
ArchivedShow the leads of archived people instead of active ones. List view only

Search isn’t case-sensitive and updates a moment after you stop typing. It searches the person’s details, not the form answers.

Custom field filters

  1. Click Field and pick a field.
  2. A chip appears under the filter bar. Enter or choose a value.
  3. Click the x on the chip to remove the filter.

How the value is matched depends on the field type:

Field typeMatching
Text or URLContains what you type
NumberEquals the number
DateEquals the date
SelectEquals the chosen option
Yes/NoYes or No

Select and Yes/No fields also offer (empty), which finds people who have no value for that field.

You can have up to 5 field filters at once.

Clearing filters

Clear (n) removes your filters. The number is how many are active. Show closed and Archived are switches rather than filters, so they stay as they are. Click them again to turn them off.

Sharing a filtered list

Your filters are part of the page address. Copy the address from your browser to send a teammate the same filtered list, or bookmark it.

Saved views

A saved view remembers a set of filters so you can return to it in one click. For example “My high-priority leads” or “Unassigned from the quote form”.

To save one:

  1. Set up the view and the filters you want.
  2. Click Views, then Save current view….
  3. Give it a name and click Save.

To use one, click Views and pick it from the list. PageFork switches to the view it was saved from and replaces your current filters with the saved ones.

Good to know:

  • A saved view stores which view you were on (List, Board or Calendar) and the filters. For the calendar it also stores whether you were looking at follow-ups or bookings. It doesn’t store your column choice.
  • Saved views are private. Only you see yours.
  • They belong to one site. You can have up to 30 per site.
  • If you change the filters after applying a view, the menu offers Update “name” to overwrite it and Save as new view… to keep both.
  • Delete a view with the bin icon next to its name. Leads aren’t affected.

On a phone, Views is under the … button at the top of the page.

Bulk actions

Tick the box in front of one or more rows. Tick the box in the header to select every lead on the current page. A bar appears at the bottom of the screen showing how many are selected.

ActionWhat it does
Move to stageMoves the selected leads to the stage you pick
Assign toSets the owner, or Unassigned
PrioritySets None, Low, Medium or High
Add tagType a tag and click Add to tag each lead’s person
ArchiveArchives each lead’s person
UnarchiveRestores them
ClearDeselects everything

When it’s done you see “Updated 12 leads”. If some leads couldn’t be changed, the message says how many were skipped and why.

Things that are different from changing one lead at a time:

  • Bulk stage moves don’t trigger destinations. The move is recorded in each lead’s timeline, but no destination fires. Move leads one at a time if you need the automation to run.
  • Bulk assigning doesn’t send the assignment email.
  • Moving leads to a lost stage doesn’t ask for a reason.
  • Reopening follows the one-open-lead rule. A closed lead whose person already has another open lead is skipped.

The selection is cleared when you change page, filters or view.

What archiving means

Archiving hides a person and all of their leads from the board, the list and the calendar without deleting anything. Turn on Archived in the list to see them, select them and click Unarchive to bring them back.

If an archived person submits a form again, they are restored automatically.

To remove someone permanently, see Erasing a person.

Troubleshooting

The list is empty but I know I have leads. Look for active filters and click Clear. Then check whether the leads are closed (Show closed) or archived (Archived).

“That field filter matches too many people.” A custom field filter matched a very large number of people. Add another filter or make the value more specific.

A bulk move skipped some leads. The message gives the reason. The usual one is “This person already has another open lead”.
